Terms & Conditions and Booking Policy
These policies apply to all bookings and services at The Glownest. By booking an appointment, you agree to the following terms and conditions.
1. Booking Confirmation
All bookings are subject to availability and confirmation. A booking is confirmed by a receipt of a confirmation email or message from The Glownest via our booking system (Timely) or an email from hello@theglownest.com.au.
Your appointment will be held for the time allocated for your treatment. We will send you consent forms that must be completed prior to your appointment. It is your responsibility to ensure all booking details are accurate.
If you are running late to your appointment, we reserve the right to shorten the treatment time to ensure we do not run late for our following clients.
2. Deposit Requirement
A non-refundable 25% deposit is required at the time of booking to secure your appointment.
This deposit will be applied to the total cost of your service upon arrival. If you do not proceed with your treatment on the day of the booking, the 25% deposit will be non-refundable. We reserve the right to refuse a refund of your booking fee in the event that you fail to comply with these terms.
We require at least 24 hours' notice if you wish to cancel or reschedule your appointment.
3. Cancellation Policy
We understand that unforeseen circumstances may arise. However, due to the nature of our business and scheduling, we have a strict cancellation policy.
Cancellations made with more than 24 hours' notice will have your 25% deposit redeemed as a credit for your next scheduled appointment or a refund will be issued.
If you fail to provide adequate notice (less than 24 hours), your deposit will be forfeited. You may also be charged an additional fee of 25% of the remaining balance.
4. No-Shows
A "no-show" will be treated as a cancellation with less than 24 hours' notice.
You will be charged the full amount of the scheduled appointment before we can book any future appointments for you.
This policy is in place to confirm your commitment to attending your scheduled appointment and to protect our small business in the event of late cancellations and no-shows.
To cancel your appointment at The Glownest, you are required to contact us through the number you received confirmation from or the email hello@theglownest.com.au.
5. Rescheduling
Rescheduling requests are subject to our availability, and we will always do our best to accommodate you.
Rescheduling requests made with more than 24 hours' notice may be accommodated without additional charges.
Rescheduling requests made with less than 24 hours' notice will result in an additional fee of 25% of the remaining balance.
To reschedule your appointment at The Glownest, you are required to contact us through the number you received confirmation from or the email hello@theglownest.com.au.
6. Payment Methods
We accept Eftpos, credit cards, debit cards, PayPal, Visa, MasterCard, Up cards, American Express, and bank transfers.
When booking online, you can choose to save your card on file for future bookings.
We do not accept third-party gift cards such as "PAMPER GIFTCARD" or "HER GIFTCARD."
All payments must be made in AUD.
If you fail to pay for your service on the day of your treatment or leave the premises without payment, you will be contacted to make the payment. If you fail to do so, you will be banned from The Glownest, and all future appointments will be cancelled. We reserve the right to legally pursue this incident.
7. Service & Product Changes
The Glownest reserves the right to modify or discontinue any service or product at any time. If a service or product is modified, we will make reasonable efforts to notify affected clients.
8. Client Responsibilities
Clients are expected to arrive on time for their scheduled appointments.
Clients are responsible for providing accurate and complete information during the booking process.
Clients are expected to follow any provided instructions or guidelines. This includes following all aftercare instructions for skin clients, which are given, emailed, and spoken about verbally.
Clients are expected to treat the spa area with care as if it were their own home. Children are welcome to join you for your appointment; however, they remain under your duty of care.
9. Force Majeure
The Glownest shall not be liable for any failure or delay in performance due to circumstances beyond our reasonable control. This can include natural disasters or other unforeseen events. In such cases, we will endeavor to reschedule or provide alternative services.
Examples of situations that are NOT approved and will result in a cancellation fee:
Running late and missing your appointment.
Last-minute work or roster changes.
Mild sickness such as a runny nose, cold, or flu symptoms that do not prevent you from attending work or other events. (We will continue with caution and will provide accurate protection to clients, e.g., masks, gloves, etc.).
Forgetting appointments or "no-shows."
10. Gift Cards
The Glownest Gift Cards can only be purchased in-store. As a small business, we are unable to offer online vouchers.
Gift cards will have an expiry date written on them.
Gift cards cannot be refunded but can be credited or donated to a friend, family member, or work colleague.
Expired vouchers cannot be honored.
11. Privacy Policy
At The Glownest, we are committed to protecting the privacy of our clients. This Privacy Policy outlines how we collect, use, and safeguard your personal information.
Information We Collect: We may collect the following types of personal information:
Contact Information: Name, address, phone number, email address.
Appointment Information: Dates and times of appointments, services received.
Health Information: Relevant health conditions, allergies, or sensitivities that may affect our services (with your consent).
Payment Information: Credit card details or other payment information (processed securely through third-party payment processors).
Marketing Preferences: Whether you wish to receive marketing communications from us.
Before and after photos: Only collected with explicit consent.
Your Rights: You have the right to:
Access your personal information.
Correct inaccurate information.
Request the deletion of your information (subject to legal obligations).
Opt out of marketing communications.
Lodge a complaint with the appropriate privacy authority.
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on our website or through other communication channels.

12. Treatment Results
The Glownest treatment packages, programs, and courses are designed to be implemented in strict adherence to our provided protocols. While we are committed to delivering optimal outcomes for all clients, it is important to acknowledge that individual results may vary, and therefore, specific outcomes cannot be guaranteed.
Comprehensive pre- and post-treatment instructions, delivered verbally, in writing, and via electronic mail, are essential for achieving the best possible results. Clients are required to follow these instructions diligently.
In the event that prescribed instructions are not followed, The Glownest shall not be held liable for any perceived unsatisfactory outcomes. Clients acknowledge that adherence to these instructions is a critical component of the treatment process and a determinant of potential results.
In order to carry out these treatments, before and after photos will be conducted and will remain confidential.
13. Complaints and Dispute Resolution Policy
The Glownest is committed to client satisfaction. For complaints, please first speak directly to us. We will always accommodate any complaint made.
If a complaint remains unresolved, we may suggest mediation or external resolution. All complaints are confidential and recorded. Our policy complies with Australian Consumer Law and is regularly reviewed.
If we cannot resolve your complaint, you may contact: Consumer Protection Western Australia and The Australian Health Practitioner Regulation Agency (AHPRA) for registered health practitioner concerns.
